GENERAL JOB SUMMARY:
Under moderate supervision, provides department support, manages department processes, ensures data integrity and federal/state reporting compliance, and ensures smooth running of the office. This position must be able to provide exceptional customer service both over the phone and in a high traffic office setting. Persons in this position must also work on a cross functional team that supports all aspects of program support, data entry, student outcomes, and audit reviews.

DUTIES/RESPONSIBILITIES:

- Serve as Data Specialist and troubleshoot any student data concerns
- Generate reports from Federal and State reporting systems for data analysis purposes
- Complete data audits for accurate student records
- Enter student outcomes for student records
- Process registrations, cancelations and transfers for Adult Basic Education and ELL students
- Review/enter courses and classes into the non-credit and federal reporting system
- Create and maintain comprehensive process documentation
- Maintain database for high school distance learning program
- Support high school distance learning program with administrative tasks
- Assist in mailings to students or other external partners
- Utilize Kirkwood’s software system to assist with room scheduling.
- Answer and/or re-direct basic inquiries from internal and external customers either via phone calls, email or in person.
- Perform various office clerical duties including filing, typing, scanning, and after the class processing of student records
- Depending on qualifications, may serve as the backup HiSET Chief Examiner
- Assist with ordering books and class materials
- Assist with department activities, meetings such as catering, supplies and scheduling
- Assist with processing blank purchase orders (BPO)
- Assist with reconciling P-cards
- Perform other duties as assigned

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing. The position involves occasional (10-33%) driving to events and meetings away from KCC’s main campus.
MINIMUM QUALIFICATIONS:

- Associate’s degree
- Must have proficient knowledge of Microsoft Office products
PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:
- Strong problem-solving skills
- Prior working experience in program management
- Experience working in an educational setting
- Experience auditing compliance of program regulations
- Bachelor’s degree and at least three years of experience in teaching, training, counselling, or testing; or college-level course work in those fields
